Building Access to Service Providers

The Board received numerous responses to the August 1, 2013 memo ("BUILDING ACCESS TO UNKNOWN PERSONS"). Residents shared their experiences of service personnel inappropriately seeking building access. In response, the Board would like to specifically address this issue.

Please be advised that all unit owners are personally responsible for providing proper access to the building for all delivery, cleaning, repair, or any service personnel for your unit; this issue can largely be addressed by ensuring your mobile phone number is programmed into the building callbox. We have received several reports of New Plaza residents being approached by service providers (both in person and through the callbox) to provide access to the building on behalf of other residents/owners. In most cases, these persons have claimed to be cleaning or pet service personnel. Additionally, we have received reports of unit service personnel waiting by the front entry door in attempt to gain access to the building. This has resulted in uncomfortable encounters between residents and service personnel that should not occur if residents are providing proper access to their service providers. 

If you currently engage any service provider(s) such that regular or periodic access to the building in necessary, please ensure you provide appropriate building access as mentioned above. Please also remind each of these service providers that propping open building doors, calling other residents through the callbox, and waiting for residents to enter or exit the building to gain access is strictly prohibited. We ask that all residents report incidents of inappropriate access by service vendors-- including the date, time, service provider name, and name/unit number of the resident who is the vendor's client, if possible-- to the Board and Tilmon. We will begin issuing fines to residents on behalf of offending service providers for repeat violations of the aforementioned rules.
Upon request, the Board will provide residents a version of these guidelines in English and/or Spanish to share with vendors. Thank you for your cooperation in this matter.
